Shared or dedicated: which number model fits the business?

How to evaluate identity, access and operating limits without treating the label as a guarantee.

The short version. A number model is a starting question. The contract and demonstrated workflow decide whether it fits.

Start with the identity customers will save

Ask what sender appears on the recipient’s phone and whether it remains stable after a plan change. A shared infrastructure plan and a shared team inbox describe different things. Several employees can work a dedicated business number, while a provider may use pooled numbers for a low-cost API tier.

Write down who controls that identity, who can change its routing and what happens if the account stops paying. Do not infer portability from the word dedicated.

Check isolation and access separately

List the staff who should see each conversation and the systems allowed to send on the line. Ask the provider to show how access is removed when someone leaves. Number assignment does not by itself prove a particular level of data isolation, security certification or administrative control.

Run your proposed pilot with test participants who agree to receive messages. Have one colleague send and another answer, then inspect the history both can see. Record missing capabilities as open questions rather than assuming they are hidden in a higher tier.

Match the commitment to the experiment

A shared sandbox may be enough to check request formatting and event handling. A customer-facing pilot should also establish the production sender, allowed audience and support path. Moving between those stages can change the price and limits.

Ask for the migration steps before choosing a trial. If the team would need a new number or rebuilt conversation history to upgrade, put that work into the decision now.
